This policy explains what happens to the personal details you share with The West Coast Heroes through this website, why we use them, who else sees them, and the choices you have. It also explains how cookies and videos work on the site.

Who We Are

This website is run by The West Coast Heroes, who are responsible for your personal details under UK data protection law (the UK GDPR and the Data Protection Act 2018). What We Collect

When you use our quote form we collect your name, your email address, your wedding or event date and your venue. If you then contact us by email or telephone, we keep a record of that conversation. If you accept cookies, the Facebook (Meta) Pixel also collects information about your visit, described below.

We need the details marked with an asterisk on the form to check our availability and prepare a quotation. Without them we cannot give you a quote.

How We Use Your Details, And Why We Are Allowed To

We use your enquiry details to check whether we are free on your date, send you an accurate quotation, answer your questions and, if you book, arrange and deliver your booking. The law allows this because you have asked us for a quotation and it is a step towards entering a contract with you. Once you book, we use your details to perform that contract.

We may also send you information and advice about your wedding date or event. We do this because we have a legitimate interest in following up an enquiry you have made. You can ask us to stop at any time.

We use the Facebook (Meta) Pixel only if you give your consent by pressing Accept on the cookie notice.

We will only contact you with information and advice regarding your wedding date or event. We will not sell your details or share them with any 3rd parties for their own marketing.

Who Else Sees Your Details

We use a small number of trusted service providers who handle personal details on our behalf and only on our instructions:

  • Our booking management, who handle enquiries, quotations and bookings for the band.
  • Keap, the customer management system that receives and stores enquiries sent through our quote form.
  • Our website host, which stores the website and keeps standard server logs.

If you accept cookies, Meta Platforms receives information about your visit through the Facebook Pixel and uses it under its own privacy policy. If you press play on a video, YouTube (Google) receives information about your visit and uses it under its own privacy policy.

We may also share details where the law requires us to, for example with our insurers, professional advisers or the authorities.

Transfers Outside The UK

Some of our service providers, including Keap, Meta and Google, are based in or store data in the United States. Where your details leave the UK, they are protected by the safeguards UK law requires, such as the UK Extension to the EU US Data Privacy Framework or the International Data Transfer Addendum to the standard contractual clauses.

How Long We Keep Your Details

If you enquire but do not book, we keep your details for as long as we need them to follow up your enquiry, and then delete them. If you book, we keep your details for the length of the booking and afterwards for as long as we need them to meet our legal, insurance and accounting obligations.

Cookies

With your permission, we use the Facebook (Meta) Pixel. It sets cookies that tell us how people find our website and help us show our adverts to the right people. Nothing is set until you press Accept on the cookie notice. You can change your mind at any time using the Cookie Settings link at the foot of every page, and you can also clear cookies in your browser.

Your browser remembers whether you accepted or rejected, so the notice does not appear on every visit. This record is stored only on your own device and holds no personal details.

Our fonts, images and the video behind the home page headline are stored on our own website and do not contact anyone else.

Videos

Our other videos are hosted on YouTube. Nothing is loaded from YouTube until you press play. When you do, the video plays through YouTube’s privacy enhanced mode, and YouTube may then set its own cookies and collect information about your viewing under its own privacy policy.

Your Rights

You have the right to ask us for a copy of the personal details we hold about you, to ask us to correct them or delete them, to ask us to limit how we use them, to object to how we use them, and to ask for them in a format you can take elsewhere. Where we rely on your consent, such as for the Facebook Pixel, you can withdraw it at any time. We do not make decisions about you by purely automated means.

If you are unhappy with how we have handled your details, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

We will update this policy if the way we use personal details changes. The current version is always on this page.
